How to Build a Garment BOM for a Manufacturer RFQ

A useful garment BOM gives each component an identity, material or reference, color, placement, quantity basis and approval status, with unknown fields marked for confirmation.

MyOwnWear buyer guide · Project-specific confirmation required

Organize the BOM by assembly

Group shell panels, lining, interlining, pocketing, thread, closures, labels and packaging under the garment or component they belong to. Give each line a stable identifier that matches the tech pack callout. This makes it possible to discuss one component without confusing it with a visually similar item.

Record identity and quantity basis

For each entry include a description, composition or product reference where known, color, placement, source owner and quantity basis. If consumption or material area is not yet established, mark it pending. ASTM D3776/D3776M defines method scope for fabric mass measurement, not a BOM value or supplier material identity.

Control substitutions and approvals

Add fields for approved reference, proposed alternative, evidence received and approval owner. Keep the original line intact when an alternative is proposed. Request physical evidence when a photograph or specification sheet cannot resolve color, hand or construction.

Make the BOM quote-ready

Pair the BOM with garment quantity, size and color allocation, sample stage, destination and required decision date. Ask the supplier to return missing information and exclusions against the same line IDs. Link the final BOM revision to the purchase and sample approval record.

Buyer decision record

Record the garment style, material or trim reference, sample size, revision and the question being decided. If the supplier proposes a change, ask for the changed layer order, measurement or artwork location in a marked response before treating the quote or sample as comparable.

Evidence scope

The linked references provide terminology or named-method scope only. They do not prove a MyOwnWear capability, a project result, a price, a lead time or a certification. Confirm the actual material, construction and acceptance criteria for the project.

  • ASTM D3776/D3776M — Fabric mass per unit area test-method scope; a listed method does not establish a material value.

Use this brief in the MyOwnWear RFQ form. Include the style, quantity, current file or sample revision and the decision you need confirmed.

Next step: ask for a written feasibility response that separates confirmed inputs from supplier-proposed alternatives, then approve the relevant sample evidence.

Keep the approved drawing, measurement or photo with the quote record so the same construction can be checked at the next handoff.

Buyer questions

Should trims and packaging be separate BOM lines?

Yes. Separate entries make scope, ownership and substitution approval visible.

What if a material field is unknown?

Mark it pending and request confirmation instead of inventing a value.
