Credit Note vs Revised Invoice: Keep Apparel Corrections Traceable
When an apparel invoice needs an agreed correction, ask whether the issuer will provide a linked adjustment document or a revised invoice. Confirm which records should be reconciled together; do not create an unexplained new total in place of the original.
For brand operations teams resolving an agreed invoice adjustment.
Start with the accepted correction
Identify the original invoice and the exact change both parties have agreed. A price correction, returned quantity and missing credit are different situations. Keep the reason and supporting order record available to the issuer. Do not label an adjustment accepted while the commercial decision is still open. The document route should reflect the actual resolution, not be used to make a disputed request appear approved through a newly named spreadsheet.
Ask how the issuer links records
If a credit note or another adjustment record is proposed, ask which original invoice and lines it references. If a revised invoice is proposed, ask how the earlier version is identified and whether it remains relevant to any completed transaction. Obtain guidance from the issuer and the responsible accounting advisers. This comparison does not declare a universally correct document type or tell a buyer to invent its own replacement for a supplier record.
Reconcile amounts without double counting
List the original amount, accepted adjustment and resulting amount using a consistent unit and currency basis. Ask how any already completed settlement is reflected. Keep tax or destination-specific fields for qualified confirmation. Do not count a credit twice simply because it appears in an email and a later document. The working reconciliation should help the responsible team follow the document chain, not overrule the organization accounting process.
Preserve a readable current status
Store the correction evidence with the order and mark the current processing instruction clearly. Notify the relevant internal recipient when the accepted record changes. If an updated document contains a new unrelated difference, reopen that line rather than assuming every edit was part of the agreed correction. Retain the earlier record for traceability subject to the organization requirements. Document control should make the accepted resolution easier to find, not erase the path that produced it.

Buyer questions
Can a buyer issue a supplier correction unilaterally?
Do not assume that. Ask the issuer and responsible advisers to confirm the required process.
Is a new total enough?
No. Identify how the change relates to the original record and agreed resolution.
Does this prescribe tax treatment?
No. Accounting and tax requirements need qualified transaction-specific review.
