Buyer Color Reference vs Supplier Color Proposal: Approval Route

An RFQ should label each color as buyer target, supplier proposal or approved swatch, then identify the fabric lot, viewing conditions and sign-off owner needed for the next decision.

Distinguish inspiration from a controlled reference

Record whether the input is a digital image, physical standard, named color reference or previously approved swatch. Identify the substrate and finish where relevant. A screen image can communicate direction but should not be treated as a physical shade approval by itself.

Ask for a proposed shade as a separate state

Label the supplier's submitted swatch with its source, material description and date received. Keep it separate from the buyer target until an approver signs it. If multiple colorways exist, use stable codes and a swatch-to-style map rather than relying on a chat image.

Set the comparison conditions

Specify how physical standards are to be compared and who resolves a mismatch. Note lighting or viewing concerns in the record, and retain the approved swatch as the project reference. Do not claim that one observation proves colorfastness or shade consistency in future material lots.

Keep substitution approval explicit

If a supplier cannot provide the target, request a new proposal with a reason, material reference and sample. Do not let a substitute become approved through receipt or production scheduling. Submit target, proposed shade and required decision together in the RFQ.

Buyer decision record

Record the garment style, material or trim reference, sample size, revision and the question being decided. If the supplier proposes a change, ask for the changed layer order, measurement or artwork location in a marked response before treating the quote or sample as comparable.

Evidence scope

The linked references provide terminology or named-method scope only. They do not prove a MyOwnWear capability, a project result, a price, a lead time or a certification. Confirm the actual material, construction and acceptance criteria for the project.

Use this brief in the MyOwnWear RFQ form. Include the style, quantity, current file or sample revision and the decision you need confirmed.

Next step: ask for a written feasibility response that separates confirmed inputs from supplier-proposed alternatives, then approve the relevant sample evidence.

Keep the approved drawing, measurement or photo with the quote record so the same construction can be checked at the next handoff.

Buyer questions

Does a screen color count as final approval?

Treat it as a direction unless the project explicitly establishes it as a controlled physical reference.

Can a supplier substitute a close shade without sign-off?

Require the named buyer approver to accept a proposed substitution in writing.
