Sample Invoice Entity vs Delivery Recipient: Align the Apparel Handoff
Provide separate billing and delivery instructions when an apparel sample goes to someone other than the invoiced party. Name the recipient role and approval owner so parcel receipt is not mistaken for commercial or design acceptance.
For brands sending development samples to studios or external fit reviewers.
Identify the billing party without reusing a shipping label
Supply the organization information needed for the actual sample invoice and ask the supplier to confirm any required fields. Keep that record separate from the physical parcel address. A studio, consultant or photo location may receive the garment without being the party buying the sample. Do not infer tax or customs treatment from this distinction; ask the relevant parties to confirm their document requirements for the actual movement and transaction.
Give the recipient an operational role
Name who can accept the parcel, where it should be delivered and what the recipient should do next. If the reviewer may open, wear, photograph or forward the sample, include the agreed permissions in that handoff. Identify whether the recipient holds the garment temporarily or keeps it after review. A delivery address alone does not explain those responsibilities, and the supplier should not have to guess them from a personal name on a courier form.
Route approvals back to the decision owner
Tell the receiving reviewer how to report observations and who can authorize revisions or charges. Keep a parcel receipt acknowledgment distinct from approval of the sample. If the review contact changes, update the handoff instead of assuming the new recipient inherits every commercial authority. This matters when a sample is delivered to a fitting session or creative contractor who is qualified to comment on appearance but is not the buyer decision owner.
Reconcile the records after delivery
Link the invoice reference, sample identifier and delivery acknowledgment without merging their meanings. Ask the recipient to flag a mismatched sample or missing component before the review proceeds. Retain any onward destination with the custody record. If an address correction creates extra work or cost, obtain the relevant approval separately. A clean reconciliation helps the next team find the right garment and decision trail without exposing unnecessary personal details in a shared technical package.
Decision and evidence checklist

What this brief does and does not establish
This is a document-routing workflow, not tax, customs or legal advice. Required invoice fields, shipping documents, permissions and authority depend on the actual transaction and agreed parties.

Buyer questions
Must the invoice name match the parcel recipient?
Do not assume one field can serve both purposes. Confirm the actual billing and delivery document requirements with the relevant parties.
Can the recipient approve the sample?
Only if the project gives that role approval authority. Receipt, review comments and formal acceptance should remain distinguishable.
What should be linked after delivery?
Connect the sample identifier, invoice reference and receipt evidence while retaining the separate meaning of each record.
