Receipt Acknowledgment vs Sample Approval: Do Not Merge the Statuses

Receipt acknowledgment records that a sample or file arrived; approval records an authorized decision about a defined review scope. Keep the statuses separate even when one person performs both tasks. A delivered parcel, opened email or message saying received does not establish acceptance of fit, construction, color or artwork.

For brand teams receiving samples through assistants, warehouses or external reviewers.

Record what actually arrived

Identify the parcel or file, sample reference and received condition. Note missing components or a mismatch against the dispatch list. Keep this record factual and limited to arrival. The person receiving a package may not be the person authorized to judge the garment, so do not force the receipt field to carry an approval meaning it cannot support.

Name the review scope before asking for approval

State whether the sample is being reviewed for fit, construction, decoration, color or another defined purpose. Identify aspects that remain provisional. A sample can support one decision while leaving others open. Ask the reviewer to respond to the named scope instead of using an unqualified approved stamp that later appears to cover everything visible on the garment.

Assign decision authority

Name the role or person who can approve each scope and how their decision will be recorded. Separate a coordinator forwarding comments from a reviewer making the decision. If several people must agree, show their individual statuses. The receipt owner should not be assumed to have design, sourcing and quality authority merely because they control the delivery address.

Keep comments attached to the decision

Link approval or rejection to the exact sample revision and the comments considered. Distinguish an approval with explicitly accepted conditions from a request for changes. Do not convert a polite thank-you or a discussion about one detail into whole-sample acceptance. Open issues should remain visible until the responsible reviewer actually resolves them.

Define what the approval permits next

Ask whether the decision allows a revised sample, material procurement or another specifically named action. Avoid assuming that sample approval alone releases bulk manufacture. Record any separate commercial or production release requirement. This prevents a technically approved detail from becoming an unintended authorization for work outside the reviewer's responsibility.

Use evidence that survives an email handoff

Maintain a small status record with receipt, review scope, decision maker and permitted next action. Link the supporting messages rather than paraphrasing them into stronger claims. Ask MyOwnWear to confirm the project's review and release workflow. The goal is to preserve what was actually decided, not to add a burdensome approval ritual to every sample movement.

Buyer questions

Does delivery tracking prove sample approval?

No. It proves a delivery event, not a substantive review decision.

Can approval cover only one feature?

Yes, if its scope is explicitly recorded.

Does every approval release bulk production?

No. Define the permitted next action and any separate release requirement.
