On-Site vs Shipped Physical Samples: Choose the Review Setting

Both on-site and shipped-sample reviews involve a physical item, but they organize access and decision evidence differently. Choose the setting that lets the required reviewers inspect the identified sample under an agreed process. Neither a visit nor receipt of a parcel is itself an approval.

For apparel teams planning a hands-on development decision with several reviewers.

Start with the decision that needs physical access

List what the team must handle, measure or observe before it can decide. Identify the reviewers who need access and the configuration they must see. An on-site meeting may allow questions about the assembly immediately; a shipped sample may allow the buyer to review beside its own references. These are planning possibilities, not guaranteed advantages. Select the setting around the evidence needed rather than treating either travel or delivery as inherently more rigorous.

Control sample identity at the review location

For an on-site session, record which sample was actually presented and whether it was changed during the meeting. For a shipped review, reconcile the received item with the sample record before circulating it. In both settings, identify any temporary adjustment or missing component. A photograph of a table full of garments does not show which configuration was approved. Keep the sample reference visible in the decision notes and detailed evidence.

Plan the record that survives the meeting

Agree who will capture measurements, comments and unresolved questions. If a decision is made verbally on site, put the accepted scope in writing before treating it as release. If reviewers handle a shipped sample at different times, prevent conflicting comments from becoming parallel instructions. Use a consolidated decision record and identify which observations remain provisional. Neither setting removes the need to distinguish a personal impression from an authorized project decision.

Decide what happens to the reviewed item

Record whether the sample remains at the site, returns to the supplier or is retained by the buyer, subject to agreed terms. Preserve the identity of the approved configuration if another copy will be used as a reference. Ask how any later modification will be documented. The review setting should support traceability after the session; it should not leave the only evidence of an accepted detail in someone else’s memory or an unlabeled garment bag.

What this brief does and does not establish

The comparison does not claim either setting improves outcomes or confirms site capability. Access, sample custody, travel and shipment arrangements require project-specific agreement.

Tell the inquiry team what must be reviewed physically and who must decide; request a suitable review and evidence plan. Open the MyOwnWear RFQ form.

Buyer questions

Is this a virtual versus physical comparison?

No. Both options here involve physical samples. The difference is where and how the hands-on review is organized.

Does a factory visit approve the sample?

No. Record the actual sample, reviewed scope, authorized decision and unresolved issues separately from attendance.

Can reviewers inspect a shipped item at different times?

Yes, if sample identity and comments remain controlled and one authorized decision resolves conflicting feedback.
