Outlined Lettering vs Live Fonts: Hand Off Both Intent and Editability

Separate the approved lettering appearance from the editable text source. Outlined vector lettering can preserve the supplied shapes, while live text depends on the font and application setup. State which file controls appearance, who may edit wording and what permission is needed before sharing or using font resources.

For brand artwork coordinators supplying text-based garment decoration.

Name the appearance master before exporting

Choose the version that shows the approved wording, letter shapes, spacing and line breaks. Add a clear proof that can be compared visually without editing the source. If outlines are supplied, confirm that the exported result still matches that proof. Do not assume that converting text solves every artwork problem; scale, missing elements and accidental changes still need checking. Keep the original design reference separate from any vendor-produced production adaptation.

Keep editability as a controlled responsibility

If the buyer expects later wording changes, retain an appropriate editable source under the agreed access rules. Identify who will make those changes and which software or font dependencies need confirmation. A supplier receiving only outlines should not be expected to recover the original text workflow. Conversely, a live-text file should not be treated as a permission to rewrite a slogan. Approval of appearance and authority to edit content are different fields.

Check font permission without guessing the license

Ask the artwork owner to confirm the permitted sharing and production use of relevant font resources. Do not attach a font package merely because it is installed on a designer’s computer. If the receiving party cannot use the font, agree a compliant handoff route and preserve the appearance proof. This guide does not interpret any particular license. Record the permission source or responsible owner so a later artwork revision does not restart from an unsupported assumption.

Proof the received file before sampling

Ask the recipient to return a view of the file as opened in the proposed workflow. Compare wording, punctuation, spacing and intended dimensions against the master. Any production adjustment should be identified and approved rather than silently replacing the supplied art. Tie the accepted output to a file revision and decoration location. Physical sample review remains necessary for the chosen process; a correct vector proof does not establish embroidery, print or transfer performance.

What this brief does and does not establish

The file distinctions are workflow guidance, not font-license advice or a guarantee of production output. MyOwnWear application compatibility and artwork adaptation scope require confirmation.

Send an appearance proof and identify the editable-source owner; ask the decoration team to confirm the supported handoff format. Open the MyOwnWear RFQ form.

Buyer questions

Do outlines make the lettering freely editable?

They preserve supplied shapes, not the original live-text workflow. Agree who controls source edits and how revised wording will be reapproved.

Can an installed font always be shared?

Do not assume so. The owner must check the applicable permission and choose an appropriate handoff route.

Does a correct proof release decoration performance?

No. It confirms its stated artwork scope. The selected garment decoration still needs its own sample and evidence review.
