Scanned Apparel Artwork: Check Scale Before Sending the Reference

Include an in-plane scale reference and intended artwork dimensions when scanning a physical reference. Verify the received file against that reference, and label it as a reference scan unless a separate production-file approval has been completed.

For design teams digitizing a physical logo or decoration reference.

Prepare the physical reference and scale marker together

Place the relevant artwork surface and an agreed dimensional reference in the same capture plane where practical. Name the units and identify which artwork boundary will be measured. If the object cannot lie flat, record that limitation rather than presenting the scan as an exact dimensional master. Keep the original physical reference identifier with the file. A cropped image of the motif alone leaves the receiving team without a reliable explanation of its intended physical size.

Keep capture settings separate from design dimensions

Record the scan settings available to the team, but also state the intended finished width and height in ordinary units. Do not ask the supplier to infer garment decoration dimensions from pixel count or a file property alone. If the image is rescaled after capture, document that change and retain the uncropped source. The brief should make clear whether the supplier is checking a reference, recreating artwork or receiving an approved production asset.

Ask the receiver to verify the same landmarks

Specify which two points define the width or height being checked, particularly when the motif includes shadows, borders or loose fibers. Request a received-file confirmation using those landmarks and the scale marker. If a printout is part of the review, name the intended output setting and verify the marker on that output. A screen preview can support discussion, but its apparent size is not a substitute for a dimensional check on the intended reference.

Separate reference acceptance from production artwork release

List what remains unresolved after scale review, such as edge reconstruction, color instructions, process-specific preparation or final placement. Ask the supplier to identify any conversion work it proposes before using the scan in production development. Preserve the original scan beside the revised artwork so reviewers can see what changed. The dimensional confirmation closes one question only; it should not silently approve a traced outline, decoration technique or altered visual detail.

What this brief does and does not establish

This workflow checks communication of reference dimensions, not scanner calibration or production suitability. It asserts no decoration accuracy, color fidelity or MyOwnWear digitizing capability without further confirmation.

Buyer questions

Does a scan resolution define finished artwork size?

Provide intended physical dimensions and a reference check instead of relying on resolution metadata alone to communicate the design requirement.

What if the reference cannot lie flat?

State the limitation and ask what additional drawing or dimensional evidence the supplier needs; do not label the capture as an exact master.

Does passing the scale check approve the artwork?

No. Edge reconstruction, process preparation, colors and placement remain separate review items unless they were explicitly included.
