Demand Forecast vs Purchase Commitment: Separate Apparel Planning Quantities

A demand forecast communicates a planning view; a purchase commitment communicates an obligation only as established by the actual agreed documents. Label the status of every quantity you share. Do not let a forward spreadsheet become an unexplained instruction to buy materials or make garments.

For brand procurement planners sharing forward demand with garment suppliers.

Give the forecast its own status and horizon

Identify the period covered, the styles included and the date of the forecast version. Separate expected demand from a confirmed order quantity in different fields rather than relying on cell color alone. State whether the numbers represent end-customer demand, expected supplier purchases or another planning object. Those quantities need not be interchangeable. A seasonal estimate that mixes retail demand and replenishment purchases cannot reliably tell a supplier what the buyer intends to order. Include the assumptions needed to read the file.

Ask what action the recipient intends to take

Before circulating numbers, ask whether the supplier will use them only for discussion or proposes to take a specific action. Material procurement, capacity planning and garment production are different actions. Request an explicit proposal identifying any authorization needed and any associated obligation before treating an estimate as permission. This is not a guide to reserving a production slot; the decision here is what the shared demand number means and whether anyone may act on it. Do not infer the answer from a spreadsheet heading.

Reconcile updates without rewriting confirmed quantities

When the forecast changes, show the prior version, the changed planning periods and the new assumptions. Keep confirmed purchase records distinct so an updated estimate does not appear to cancel or enlarge an existing order. If the buyer wants to change a commitment, route that request through the actual agreed amendment process. Conversely, a confirmed order should be linked to the forecast period it consumes only under a stated reconciliation rule. Otherwise a planner may inadvertently count the same expected demand and order twice.

Compare supplier responses on the same planning basis

Ask each prospective supplier to describe how it interprets the forecast, which assumptions it needs and what response it is providing. A capacity discussion is not the same deliverable as acceptance of a purchase order. Record open questions about changes, unused materials and reliance on forecasts for the appropriate commercial reviewers. A useful comparison shows the status of the quantities and the proposed actions side by side. It does not assume that a forecast has a universal legal effect or guarantees availability when an order is placed.

What this brief does and does not establish

This is a planning-record comparison, not a legal conclusion about any forecast or purchase order. It states no MyOwnWear commitment, capacity reservation or material-buying policy. Actual communications and agreements must establish the authority to act and any resulting obligations.

Buyer questions

Does a forecast automatically authorize cutting?

Do not assume it does. Establish the action and authorization through the actual agreed documents.

Should an order reduce the forecast?

Only according to an explicit planning rule that prevents double counting and retains the original records.

Does a forecast guarantee later capacity?

No capacity guarantee is established by this brief. Ask for the specific proposed arrangement.
