Approval by Exception vs Unconditional Approval: Read the Release Boundary

Use approval by exception only with an explicit description of what is accepted, what remains unresolved and what may proceed. An unqualified approval still applies to a defined specimen and scope. Neither label should be treated as automatic permission for every later production step.

For brand teams writing garment sample approval comments.

Agree the vocabulary before relying on it

Teams may use approval by exception differently, so ask what the label means in the project’s decision system. In this brief it describes an approval record that names unresolved exceptions and limits what is accepted. Do not assume the phrase has a universal contractual effect. Identify the sample revision and decision scope next to the label. A short message saying approved with comments can leave uncertainty about whether the comments are mandatory corrections or optional suggestions.

Write exceptions as unresolved decisions

For each exception, describe the issue, the required evidence or action and the person responsible for the next decision. State whether the exception prevents a named activity from proceeding. Avoid a vague instruction to fix everything when different issues need different reviewers. If a substitute component was used only for the sample, make its status explicit. The approval should not silently convert that substitute into the released production component simply because the garment was acceptable in another respect.

Give an unqualified approval a scope too

Even an approval without listed exceptions should identify what was actually reviewed. Appearance, fit, artwork and a complete production release are different possible scopes. Do not assume an unqualified artwork decision also approves garment construction or packing. Link the decision to the reviewed files and specimen. If the sample changes later, ask which earlier decisions remain applicable rather than transferring every approval automatically. Clear scope protects the meaning of a positive decision without inventing an unlimited authorization.

Close exceptions with evidence, not a new label alone

When the responsible reviewer receives the requested evidence, record the result against the original exception. State whether the condition is closed, remains open or has been replaced by a new decision. Keep the history available to the production-release owner. A spreadsheet cell changing from conditional to approved does not by itself show what evidence was reviewed. Before any subsequent release, check the actual authorization requirements rather than inferring permission from an informal label or an absent reply.
