Brand-Held vs Maker-Held Samples: Keep Reviews Comparable

A brand-held reference is available to the buyer; a maker-held reference is available at the production review location. Neither arrangement ensures both parties are comparing the same thing. Agree which specimen controls each decision, how its counterpart is identified and how another reviewer can inspect it without an informal substitution.

For brand operations teams arranging access to approved physical references.

Assign a home location to each reference function

List the physical references used for fit, color, decoration and assembly. They may not all be the same garment. Decide who holds each original and whether a counterpart is needed elsewhere. Note any reference that is personal property or must be returned. A photo can locate a detail but may not answer a tactile or color question. Specify the access needed for the decision rather than assuming that whichever party stores the garment owns the approval.

Check counterparts before separating the specimens

When two samples are intended to support parallel review, compare them together first and record any accepted difference. Give each a distinct identifier linked to the same decision record. Mark sections that are not approved so a substitute sleeve or unfinished label does not become a production reference accidentally. Include a simple location and handling record. This is about maintaining usable access to the physical comparison, not claiming that matching stickers prove material or construction equivalence.

Agree what happens when the reference is unavailable

Define who authorizes shipping, temporary loan, replacement or an on-site review if a reference cannot be accessed. State whether a decision must wait for physical inspection or may use a specifically limited remote comparison. If a sample is altered, consumed by testing or lost, record that event and nominate a new reference through the same approval route. Keep the custody agreement separate from intellectual-property ownership and from a laboratory chain-of-custody document with a different evidentiary purpose.

What this brief does and does not establish

This article addresses physical reference availability and counterpart use. It does not certify specimen identity, establish legal ownership or state MyOwnWear storage and return policies.

List the reference garments and their current locations in a MyOwnWear inquiry; ask how shared review access and returns would be arranged. Open the MyOwnWear RFQ form.

Buyer questions

Must the maker hold every approved sample?

Not automatically. Agree the physical access required for the planned checks.

Are two similar garments interchangeable references?

Only after their differences and intended review roles have been explicitly accepted.

Does holding a sample establish design ownership?

No. Custody and access should be documented separately from ownership or use rights.
